FoxKI: property management that remembers every deadline

FoxKI is our property software for owner-occupiers, small self-managed owners' associations, landlords and property managers. It keeps everything about a building in one place – and speaks up before a deadline does.

At WORKTOPY we do not only build for clients; we build products of our own as well. This post and the next introduce two of them, starting with FoxKI, the property software that speaks up.

FoxKI is made for the German market, so its terms and legal references are German ones. What it does translates well enough to explain here.

The problem: deadlines nobody is watching

When was the heating last serviced? By when does the service charge statement have to reach the tenant? When does a contract renew itself? Anyone who owns or manages property carries dozens of dates like these, spread across folders, inboxes and spreadsheets – and one of them usually gets noticed only once it has passed.

What FoxKI does

FoxKI keeps everything about a property in one place. Units, meters, building services, contracts, contacts and documents are attached to the building they belong to. From that comes one list of every deadline, sorted by date, and a reminder while there is still time to act: 90 days before a meter's calibration expires, four months before a contract renews itself.

  • Deadlines and inspection duties: smoke detectors to DIN 14676, heating inspection under § 60b GEG, drinking water, lifts, warranties and energy certificates

  • A service book for the building: every installation with manufacturer, model, year and maintenance history

  • Rent at a glance: charges are raised every month on their own, bank transactions arrive as a CAMT file from online banking, and open items run into a three-step dunning process

  • Service charge statements built from the recorded meter readings and compared with the previous year, per cost type, before release

  • Owners' association management: invitation, agenda, voting by head, share or unit, minutes, budget and annual statement under § 28 WEG

  • Damage reports through a QR notice in the stairwell – tenants need no account and no app

Who FoxKI is for

Four starting points, one product: people who live in their own house, small owners' associations that manage themselves, people who let property on the side, and property managers who need every figure to be explainable two years later. The interface grows with you when one flat becomes five, so there is no need to switch tools.

There are three plans – Private, Landlord and Pro – from €5.06 a month including VAT, billed annually. Every plan starts with 30 days to try it, with no set-up fee.

The data stays in Germany

Operation, document storage and encrypted backups are in data centres in Germany. The data processing agreement under Art. 28 GDPR is linked openly in the footer, and a complete data export is something you request yourself, without a support ticket. When the trial ends or a subscription is paused, everything stays and stays readable.

By the way: foxki.de runs on our own CMS, Sleepy Hollow CMS, just like this website.
